Problem

How can we make the process of setting up an integration easier?

Summary

TrackFive's clients, recruiting agencies, typically use Applicant Tracking Systems to organize the thousands of jobs and leads they deal with daily. In order to successfully integrate with TrackFive's job board brands, various login and setting configurations are necessary.  

Research & Validation

Recruiting Agency

In both interviews and usability studies with recruiting agencies, we understood a few key insights. Starting out, the recruiting agencies were confused about where and how to set up their integrations. There also wasn't a clear indication of when the integration was connected and working.  

Internal Customer Support

With the internal team, I conducted interviews with each of our support specialists. The main concern was the lack of confidence in clients being able to set up an integration on their own and have it work successfully. In addition, they also had confusion about the necessary information needed per integration.

Ideation & Wireframing

Based on my research, I crafted a flow which simplified a complex process and asked for the appropriate information at a time which made the most sense to the user.

 

With this approach, I was also able to work with our developers to ensure certain events were triggered based on the steps. For example, we needed to login in the user to their integration in order to get certain setting information essential to a successful integration. This occurred during the stepped process.

I created a stepped wizard to simplify a complex set-up. 

Unique Steps

Working closely with the product manager of the project, we identified the essential fields and naming conventions per integration. I designed specific unique steps per integration.

Set-up Entry

In order to aid recruiting agencies with confusion about finding the integration set-up the page was drastically simplified and instructional copy was included. 

Following project's completion our internal team hasn't had to aid recruiting agencies integration set-up.
